Before creating your first fee structure, understand the objects that make it up:Fee Structure
The top-level named configuration for a set of charges. A fee structure has a name, an academic period scope, and a status (draft, active, or archived).
Fee Structure Component
An individual line item within a fee structure — for example, Tuition Fee, Lab Fee, or Library Fee. Each component has a name, amount, fee category, and optional tax rate.
Fee Category
A label that groups related fee types — for example, “Academic Fees” or “Miscellaneous.” Categories help with reporting and keep your invoice line items organised.
Payment Plan Template
A reusable installment schedule attached to a fee structure. It splits the total amount into scheduled due dates so students can pay in installments.
Creating a fee structure
Follow these steps to set up a complete fee structure, including components and a payment plan.Create the fee structure
Navigate to Billing → Fee Structures and select New Fee Structure. Enter a name (for example, “Tuition AY 2025-2026”), a description, the academic year, and the currency.The fee structure is created in draft status. You can safely add components and a payment plan before activating it.
Add fee categories (if needed)
If you need a new grouping label, create it first under Billing → Fee Categories. Existing categories can be reused across multiple fee structures.
Add fee components (line items)
For each charge, open the fee structure and select Add Component. Provide a name (e.g., “Tuition Fee”), the amount, the fee category, and the applicable tax rate.Repeat this for every line item — for example, Lab Fee, Library Fee, or Student Activity Fee. Each component appears as a separate line on the generated invoice.
Attach a payment plan template
If your institution allows installment payments, open the Payment Plan tab and add a payment plan template. Define each installment with a due date and the percentage of the total amount it covers.
Scope the fee structure
Scoping determines which students the fee structure applies to. Open the Scopes tab and add scopes by program, enrollment type, or a combination of both.When a student is enrolled in a matching program or enrollment type, Edurie selects this fee structure automatically for invoice generation.
Apply discounts or coupons (optional)
Attach pre-configured discounts or coupons to the fee structure for eligible students.
- Discounts — percentage or flat-amount reductions applied at the fee structure level.
- Coupons — code-based, single-use or limited-use reductions applied when invoicing.
Invoice generation happens at the moment an admission application is converted to a student record, not when the application is submitted. Make sure the relevant fee structure is active before the enrollment conversion takes place, or no invoice will be auto-generated for that student.
